Instructor Led Training - ILT

This article talks about the “Instructor Led Training” feature, also called ILT. You can use this function when you have a physical classroom-based part of your course or if you have a webinar.

Tip* This feature is part of the GO plus enterprise suite, so if you do not have the function and want to enable it, please contact us at tictac@tictac.se.

 

Whats is ILT? 

 

How does the ILT feature work in GO+? 

 

Add an ILT module in your course 

Navigate to Courses you want to add an ILT module and click on “View Course”. Navigate down to the section Modules and click on “Change Modules”.  In this view, you can add a new ILT by clicking on “Create ILT Module”.

Step 1 Add the name and description of the Instructor Led module.

Step 2 Add the text which will be displayed only if no occasion has been planned yet.

Step 3 Choose if the users can register to the occasion themselves or not.

Step 4 When you edit the course, you can also upload an icon, this option is not available when you create the course, but it can be added when you edit it.

 

Create and manage occasions

Step 1 Click on “Edit Occasions” on the top of the page. You will then see all occasions you have created in a list. When you click on “Edit” you will see all the information about a certain occasion if there is already 1 or more present in the overview. If you want to add an occasion you click on “Add Occasion”.

Step 2 Add the title for the occasion. I.e you can specify that it is a classroom training.

Step 3 Add the description. This can be about where the training will take place, but you can also describe what the training will be about.

Step 4 Choose the location from the list you have pre-defined under Settings > ILT Locations. (Add pre-defined locations)

Step 5 Add any additional information regarding the location in the text field under the Location selection. For example, you can add information about parking possibilities or add a Google Map showing the location.

Step 6 Specify start and end date/time.

Step 7 (Optional) Under "LAST DATE FOR REGISTRATION" you can choose a specified date for when the user no longer can register for this occasion. This date will be visible to the end-user. If you don't have a last registration date, leave this filed empty. 

Step 8 (Optional) Under the field "SEATS" you can define a maximum number of self-registrations on the occasion. The number of seats and how many of them are taken will appear for the end user. If you don't have a maximum number, leave this field empty.

Step 9 Assign a teacher to the occasion. The teacher view makes it possible for the teacher to manage the participants even if the teacher does not have super admin rights.

Step 10 Click on “Update Occasion” to save your changes. 

 

Add participants to an occasion

After the occasion is created you can add participants to the occasion manually. There is the option to import users via a list or add them in the participant overview. If there are already participants registered for the occasion you will have the option to download a list. Use that list if you want to register the same group to another ILT.
 Tip* Keep in mind that one user can only be assigned to one occasion per module.
 

In the participant's list you see all users which are registered to this occasion. The following options will apear once you select one or more

- Remove them from the occasion

- Revoke the approval of passing the training if they have passed previously

- Approve them of passing the course manually

- Send an email.

To add participants from the user list you click on “Add participants”. You will then see a list of all the users who has access to the tags for this course. You then select which users you want to add and click on “Add participants” and then confirm that you want to add them.
 
 

Add pre-defined locations

Step 1 Navigate to Settings and click on “ILT Locations”.

Step 2 To add a new location at the top level you click on “Create root location” and then fill in the name and description of the location. If you for example have a top-level tag called “Office” you could have sub-locations for each office location.

Step 3 To add a sub-location, you click on “Create” next to the top-level location and then fill in the location’s information. These locations will then be reusable in all your ILT modules. 

 

Last date for deregistration

You can choose the cancelation date for the self-registration in the ILT module.

This feature can be found when you create or manage occasions under the field "LAST DATE TO CANCEL REGISTRATION".

You can choose a specific date for when the user no longer can cancel their registration for this occasion. This date will be visible to the end user. If you don't have a last deregistration date, leave this felt empty.

Teacher view

In the teacher view, you see a list of courses to which you have been assigned as a teacher to. When you click on “View Modules” you will only see the instructor-led training you have been assigned to in this view, so you do not see the other modules. 

To manage the participants, you then click on “Participants” and you will see a list of all the participants registered for this occasion. You can select the participants you want to manage and then either

- Revoke approvals

- Approve participants

- Send an email 

If teacher material has been uploaded to this ILT you can also view this through the Teacher view by clicking on “Teacher material”.
