General
Articulate generally distinguishes between administrators and active users, with only active users being able to work with the software. Administrators are authorized to manage the account and allocate license seats.
If an administrator wants to work with the software as well, they must first be added as an active user under the "Team" tab and click on the link in the confirmation email that follows. Please also check the spam folder for the email.
Once they log in again at 360.articulate.com, they can find the download button in the top right corner of the dashboard. If the IT department wants to deploy the software as a package, they can find MSI packages of the software provided by Articulate at this link.
Since the Articulate 360 Suite operates primarily through the Articulate ID (AID), you don't need a serial number for the software. Instead, you log in to the Articulate 360 desktop app with the AID and can start creating content. If you forget your password, you can reset it using the "Forgot password" option.
Note: Content created in the trial version using online tools (such as Rise) is also tied to the AID. If the user provided a different email address during the trial period, the content will be stored there and will not be automatically transferred to a new AID. Any content created with Storyline and other local apps previously had to be saved locally (or on a server). These files can be opened without any issues using a new AID.
Swapping Users and transferring content when no free seats are available.

In some cases, you may need to swap one user with another within your Articulate team subscription, but you have reached the maximum number of available seats. This scenario requires careful handling to ensure a smooth transition. If you already have created the new user you can skip to Step 2
Step 1: Create a new user in your team.
Sign in to https://account.articulate.com and click Manage Team on the left side of the screen. You need to be an admin to perform those actions.
Next, click on the “Admins, " enter the new user’s email address, and click Invite.

Step 2: Remove the seat for the existing user.
Go to https://account.articulate.com and sign in with your email address (Articulate ID) and password. Click Manage Team on the left side of the screen. (You must be an admin to see the Manage Team tab.)
Hover over the user you want to remove and click the X that appears.
Decide whether the removed user shall keep their content or transfer it to the newly created user.
Tipp: Sometimes there is a delay after you created a user. If the option to transfer the content is greyed out wait a bit and try again later. Also, make sure the mail address matches; sometimes the browser autofill can play tricks on you.
If the user is also an admin, choose to remove their admin access when prompted.
The new owner receives an email notification about the content transferred to them and will get the seat automatically. The new owner will have access to all the content which was previously assigned to the user who was removed from the seat.
Limitations:
- You can transfer content to any user or admin on your team.
- You can’t divide content among multiple users. However, the new owner can transfer Rise 360 courses to other team members.
- The new owner must be a member of your team.
What happens when you remove a user and do nothing with their content?
The user’s Rise 360 courses and Review 360 items remain for at least six months. During that time, shareable links for the projects continue to work, so your team can still view them. However, no one will be able to edit or manage them. Any collaborators will have their access to the content revoked.

Transfer content from a user without a seat

Sometimes users will be removed from a seat without transferring the content to somebody else. At some point, access to their content is required for another member of the team. However, while the removed user is still an admin, they won’t have access to their content and can’t transfer it.
Step 1. Assign the owner(admin) a seat
If you have an available seat just assign the user that seat
If there is no seat available, you need to swap users. Remove a user as outlined above.
Step 2. Transfer the content
Scenario 1:
You can move the content 1 by 1 to the new user. You can read more about it here.
Scenario 2:
You can remove the user again but this time chose to transfer the content to another user in your team. That follows the same steps as outlined above.
